At the end of the day, you open your notebook or your report screen and see a row of numbers. How much did you take today? Is it high or low compared with yesterday? Looking at total sales alone, it's hard to tell why. To manage internet cafe revenue better, break that number into a few small metrics that are easy to read and easy to act on.
This post covers the metrics worth checking every day, how to read them, and how to turn them into specific decisions for your cafe.
Why total revenue alone is not enough
Total revenue answers "how much did we make today?" It does not answer "where did the money come from?" or "where are we falling short?"
- Two days can have the same total but look very different: one busy in the evening, one steady all day.
- Revenue can drop because fewer machines were used, fewer customers topped up, or the night shift was quiet. Each cause needs a different fix.
- If you only look at the total, you usually find out too late.
So pick a short set of metrics and check them regularly. Don't try to track everything at once.
Summary table: metrics to check every day
| Metric | What it tells you | Decisions you can make |
|---|---|---|
| Revenue by hour | Which time slots are busy and which are quiet | Plan staff schedules, set combos or promotions for off-peak hours |
| Machine usage rate | How many machines actually earn money | Adjust prices, check faulty machines, decide whether you need more machines |
| Member top-ups | Whether regular customers are still topping up | Hand out coupons, design member tiers, look after regulars |
| Service revenue (drinks, food) | Income outside playing time | Review the menu and where customers order |
| Shift handover difference | Whether cash on hand matches the system | Tighten the shift handover process |
The first three metrics matter most. Add the last two once you're used to reading reports.
Metric 1: Revenue by hour
This metric shows the rhythm of your cafe. Split the day's revenue into time slots, then compare them.
When you review it, ask yourself three questions:
- Which time slot is the highest? Do you have enough staff and stable machines in that slot?
- Which time slot is the lowest? How could you bring customers in?
- Compared with the same weekday last week, which slots changed the most?
If the night shift is quiet, you can try a separate price package. You can read more in how to create night combos that attract customers and still make a profit. Setting up combos is also part of GCafe+ Billing, the internet cafe billing software.
Metric 2: Machine usage rate
Machine usage rate shows how many of your machines have a player on them. In simple terms:
Machine usage rate = hours machines are actually in use ÷ total hours machines could serve.
This metric helps you avoid two mistakes:
- Thinking the cafe is busy when only a few rows are busy. Machines in hidden corners or with lower specs may be chosen less often.
- Machines left empty because of faults. A frozen machine, or one missing games or updates, makes customers move to another seat.
On games: if customers often ask for a new game your machines don't have yet, that is also a reason machines sit idle. Take a look at GCafe Update, the software that updates games automatically for internet cafes. It is a paid plan, charged per machine, in 6-month packages. For details, see the post on whether GCafe Update costs money.
Metric 3: Member top-ups
A top-up is money that comes in first and gets played later. Cafes with many members who top up regularly are usually steadier on weekdays. Each day, look at:
- Total top-ups for the day.
- Number of top-ups (many small ones or a few large ones).
- Whether any regular member hasn't been back for a while.
If top-ups drop for several days in a row, that's your signal to act. You can hand out coupons to regulars, or review how your tiers are set up. These two posts will help: effective internet cafe coupons and internet cafe member tiers.
GCafe+ Billing comes with Membership for managing internet cafe members. Billing is free, with no limit on the number of machines.
Extra metrics: services and shift handover difference
Once you're comfortable with the three main metrics, add two smaller ones.
Service revenue
Drinks, instant noodles and snacks are income outside playing time. If playing-time revenue is good but services are low, the menu may not be appealing, or ordering may not be convenient.
Shift handover difference
The cash in the drawer and the numbers in the system should match. If they don't, check right away that day instead of waiting until the end of the month. The post internet cafe shift handover without losses: a 5-step process suggests how to do it.
Which reports are available on GCafe Portal?
GCafe Portal is a free product with no limit on the number of machines. Based on the information we have, Portal supports the following:
- Tax report: the S1a-HKD revenue ledger under Circular 152/2025/TT-BTC. This is useful if you need to prepare tax reports for an internet cafe run as a household business.
- Banners and wallpaper on client machines: up to 5 banner slots plus wallpaper. See also how to use the 5 banner slots effectively.
As for reports such as revenue by hour, machine usage rate and member top-ups, whether they are in Portal and how they are displayed: [Cần xác nhận]. Please call the hotline or check the system directly to see exactly which reports are available for your cafe.
With any tool for managing internet cafe revenue, what matters is that you can open the numbers fast and read them at a glance. For the big picture of the product suite, visit the GCafe home page, the internet cafe software from Hubservices.
A 10-minute daily habit
You don't need to sit with reports for an hour. A short, regular habit is enough:
- Morning (3 minutes): look at yesterday's revenue by hour. Note the high and low time slots.
- Midday (3 minutes): check which machines have few users. Is a machine faulty or missing games?
- End of day (4 minutes): look at member top-ups and compare them with the shift handover figures.
A short note in a notebook or a file is fine. After 2–3 weeks, you'll see your cafe's pattern and know when a number looks "unusual".
It's also a good idea to check your machines first thing each morning. You can use the 15-minute start-of-day internet cafe maintenance checklist.
Where to start if you aren't tracking anything yet?
If your cafe still uses a paper notebook, start small:
- Week 1: track revenue by hour only.
- Week 2: add machine usage rate.
- Week 3: add member top-ups.
This way you won't be overloaded. When the data already sits in your software, tracking is much lighter than calculating by hand. If you're looking for free internet cafe software, GCafe+ Billing is free, with no limit on the number of machines. The server runs GCafe+ Server, the client machines run GCafe+ Client, and there are a new interface and a Classic one. You can read the comparison of the new interface and Classic to choose.
